Effective Date: 26th January 2026 Last Updated: 23rd June 2026

Welcome to JudgesHub ("we," "us," "our"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our website at judgeshub.com and related services (collectively, the "Service"). By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

1) Who We Are

  1. Operator: JudgesHub
  2. Website: https://judgeshub.com
  3. Email: info@judgeshub.com

2) Information We Collect

We collect the following categories of information:

A. Information you provide directly

  1. Account information: full name, email address, phone number (if provided), password (stored in hashed form), professional title, court name, and court station.
  2. Files you upload: case documents (PDF/DOCX) and related metadata (file name, size, upload time), used solely to generate your requested drafts.
  3. Payment information: billing name, payment reference IDs, and subscription status. We do not store full card details — payments are handled by our payment processor.
  4. Support requests: messages or feedback you submit via our contact form or email.

B. Information collected automatically

  1. Server logs: IP address, browser type, pages visited, timestamps, and referring URLs — retained for security and abuse prevention.
  2. Session cookie: a strictly necessary cookie that keeps you logged in. Stored server-side; expires when your browser closes or the session times out.
  3. Security cookie: a strictly necessary cookie that protects form submissions from cross-site request forgery (CSRF) attacks. Expires after 2 hours.

3) How We Use Your Information

  1. Provide and operate the Service — accounts, document drafting, customer support.
  2. Process and manage subscriptions and payments.
  3. Maintain security and prevent fraud or abuse.
  4. Communicate with you — service updates, security notices, support replies.
  5. Comply with legal obligations and enforce our terms.

4) AI Processing and Uploaded Documents

  1. Documents you upload are processed by AI to generate rulings, judgments, and related drafts as requested by you.
  2. Generated drafts and your uploaded files are stored in your account and remain accessible to you until you delete them or close your account.
  3. You control what you upload. Do not upload documents containing sensitive personal data beyond what is necessary for the draft.
  4. We rely on third-party AI providers (OpenAI) to process document content. Your content is transmitted to them only to perform the requested processing, subject to their data processing agreements.
  5. We use external search APIs (Brave Search) solely to verify legal case citations — no personal data is transmitted in these requests.

5) Legal Bases for Processing

  1. Contract: to provide the Service you signed up for.
  2. Legitimate interests: to maintain security, prevent fraud, and improve the Service.
  3. Legal obligations: where Ugandan law or applicable regulation requires retention or disclosure.

6) Sharing and Disclosure

We share information only as necessary with:

  1. AI processing providers (OpenAI) — to generate document drafts.
  2. Payment processors — to complete transactions.
  3. Hosting provider — our VPS infrastructure that runs the Service.
  4. Professional advisers (lawyers, auditors) — when legally necessary.
  5. Authorities — if required by law, court order, or to protect rights and safety.

We do not sell your personal information.

7) Cookies

This site uses only strictly necessary cookies — a session cookie to keep you logged in, and a security cookie to protect form submissions from cross-site attacks. No tracking, advertising, or analytics cookies are used.

Because these cookies are strictly necessary, they do not require your consent under applicable law. You may disable cookies in your browser settings, but doing so will prevent you from logging in.

8) Data Retention

  1. Account data: retained while your account is active. Deleted upon account closure.
  2. Uploaded files and generated drafts: retained in your account until you delete them or your account is closed.
  3. Server logs: retained for up to 90 days for security and auditing purposes.
  4. Payment records: retained as required by applicable financial and tax regulations.

9) Security

We implement technical and organizational measures to protect your data, including password hashing, HTTPS encryption, CSRF protection, HttpOnly and Secure cookie flags, and access controls on our server. No system is 100% secure. Please use a strong password and keep your login credentials confidential.

10) Your Rights

You may have the right to:

  1. Access your personal data.
  2. Correct inaccurate data.
  3. Request deletion of your data (subject to legal retention requirements).
  4. Object to or restrict certain processing.
  5. Data portability where applicable.

To exercise these rights, contact us at info@judgeshub.com.

11) Children's Privacy

The Service is intended for legal professionals and is not directed at persons under the age of 18. We do not knowingly collect personal data from anyone under 18. If you believe a minor has provided us with personal information, contact us at info@judgeshub.com and we will delete it.

12) International Data Transfers

JudgesHub is operated from Uganda. If you access the Service from outside Uganda, your data may be processed in Uganda or in other countries where our service providers (including AI providers) operate. By using the Service, you acknowledge and consent to this transfer. We take steps to ensure appropriate safeguards are in place.

13) Third-Party Links

Our Service may contain links to third-party websites. We are not responsible for their privacy practices. Please review their privacy policies before providing personal information.

14) Changes to This Privacy Policy

We may update this policy from time to time. We will post the updated version on this page and revise the "Last Updated" date. Significant changes will be communicated via email or a notice within the Service.
